Database
Load your certificates database (Database - Certificates - Gem.xlsx). It reads your live records straight from Sheet1 and your course list from Sheet2. Everything stays on this computer — nothing is uploaded. Whenever you've added new training in Excel, just save it and click Reload here.
Load databases
Drop all your database files in at once — the app detects which is which automatically. Or click to browse and select multiple files.
Course Bullets
Each course prints its own set of summary bullets. Add a course's bullets once (copy them from that course's summary PDF on your website) and the app drops them onto every future certificate for that course automatically — and applies any per-delegate tweaks from your Excluding / Extra_Bullet columns. Your full set of course bullet lists has been pre-loaded for you, so there's nothing to type — just review and tweak any if needed.
Certificate details
The fixed parts of every certificate. Saved on this computer.
Generate Certificates
Type or pick a booking reference to produce a certificate for everyone on that booking, with all details pulled from your database.
Renewals
Spot training that's expiring soon (or already lapsed) and send each client a friendly rebooking reminder. Uses your certificates database — load it on the Database tab first; load your bookings database too for one-click emails.
Booking reminders
Send next week's booking reminders — split by client (and venue), or by trainer. Load your bookings database on the Database tab first.
Trainer pay reports
Generate monthly payment reports for trainers. Load your accounts database on the Database tab first. Trainers are paid on the 15th of the following month.

Booking Requests
Bookings needing a trainer placed — new requests and recent cancellations to rebook, from the Booking Checks 2026 board. Pick a trainer and confirm; nothing is booked automatically.
All Bookings
Every booking, across all trainers and clients. Open one to see its paperwork, progress and certificates. Filter to Today to see what is happening right now.
Alerts
Daily items needing attention — outdated certificates, trainer suggestions, and clocking flags.
Updates
Track every course’s materials and when they were last reviewed. Content is on a 12-month review cycle — overdue and flagged courses come first.
Trainer Availability
A read-only view of any trainer's diary — available, days off, and booked (with the course). The trainer keeps this updated on their portal.
